This MeetingTrader Privacy Policy describes MeetingTrader Inc.’s (the “Company” “we,” or “us”) privacy policies and how we handle and protect personal information about our customers who subscribe to our service, use our software and use our web site (the “Service”).  By using the Service, you agree with this Privacy Policy and the terms of the Terms of Use (the “User Agreement”), which you can find at www.meetingtrader.com/MTTerms.

Changes to Privacy Policy
The Privacy Policy will be changed from time-to-time. When we make a change to the Privacy Policy, we will (1) notify you by email that the Privacy Policy has been changed, (2) place a prominent notice on our website, (3) change the “last updated” date at the top, and (4) post the changed Privacy Policy at www.meetingtrader.com/MTTerms.

How We Protect Personally Identifiable Information
We employ measures designed to limit access to the personally identifiable information we collect to those employees or others who need access to it in order to conduct business and service your account. Our employees are required to maintain and protect the confidentiality of personal information, must follow established procedures to do so, and are subject to disciplinary action if they fail to do so. In addition, we maintain reasonable and appropriate physical, electronic and procedural safeguards to protect personally identifiable information.  Finally, companies we hire to provide support services to us are not permitted to use personally identifiable information for their own purposes and are contractually obligated to maintain strict confidentiality.  We limit their use of your information to the performance of the specific services that we have requested from them.

Our Personally Identifiable Information Disclosure Policy
Other than the limited circumstances described below or as permitted or required by law, the Company does not share personally identifiable information with third parties.  The Company does provide aggregated, non-identifying user activity data (including, without limitation, online behavior, bids solicited or made, cancellations listed or resold, and prices offered or paid) (“Aggregated Data”).  Also, we may occasionally hire other companies to provide limited services on our behalf, including credit card billing and processing, collections, network hosting, mailing, advertising and marketing, and deliveries. We will only provide those companies the information they need to deliver the service, and they are prohibited from using that information for any other purpose.

The Company will not disclose your personally identifiable information, unless we are required to do so by law or in the good faith belief that such action is necessary to (1) comply with the law or with legal process served on the Company or our website; (2) protect and defend the rights or property of the Company and our creditors (in the event of a dissolution proceeding), and, (3) address circumstances affecting the personal safety of users of Company, its websites, or the public.  In the event the Company goes through a business transition, such as a merger, being acquired by another company, or selling a portion of its assets, users’ personal information will, in most instances, be part of the assets transferred.

How We Use Personally Identifiable Information
The Company collects personal information when you register for a Company account or use the Service for the following purposes:
  • To deliver the Service.
  • To maintain accounting and billing contact information and other financial records.
  • To customize the advertising you see.
  • To contact you regarding the Service unless you elected not to receive these communications.
Why And How We Collect Personally Identifiable Information
  • Personal Information.  We collect the personal information that you voluntarily provide to us when (1) you subscribe to the Service, (2) when you submit information through meetingtrader.com, applications, other forms or conversations with us (3) when you provide or update information about yourself through www.meetingtrader.com, (4) during your transactions or interactions with the Service or any of our affiliates, and (5) from third parties with your permission.  For example, if you sign up with us, or complete and submit the “Contact Us” page, we will collect any information that you provide to us in such request or submission. 
  • Other Information.  Like the operators of most web sites, we may use tracking software and similar technology, which automatically collects information about your computer hardware, software and use of the Service.  This information may be used by us for the operation of the Service and to provide general statistics regarding use of the Service, including without limitation the Aggregated Data.  Many commercial web site operators collect this information in similar ways.  For example, when you purchase a cancelled meeting space, we will collect information regarding price offered, price paid, market location and time of year, among other information.
Cookies.  Cookies are bits of electronic information that a web site can transfer to a visitor’s hard drive to help tailor and keep records of his or her visit.  Cookies allow web site operators to better customize visits to the site to the visitor’s individual preferences.  Many commercial web sites use cookies.  Although most web browsers automatically accept cookies, you can usually change your browser to prevent or notify you whenever you are sent a cookie.  This gives you the chance to decide whether or not to accept it.  However, if you set your browser such that it does not accept cookies, you may not be able to access certain of the features on the Company web site.

Types Of Personally Identifiable Information We Collect

Personal Contact Information

The personally identifiable contact information we collect about our customers includes:

  • Your name, billing address, mailing address, telephone numbers, email address and credit card information.
  • Information about your transactions with us, including the specific services we provide to you, the options you select, charges, offers and your payments to us.
Service And Account Information
The Company tracks Service activity related to your account for the purposes of creating billing statements and maintaining customer accounts, customer support, targeted recommendations to you, notice of special events and marketplace opportunities and managing the operation of the Service. 

Diagnostic Data
We collect diagnostic data on the performance of the Company software.  Diagnostic Data is used to operate the Service. Diagnostic data may be associated with an individual user account for service purposes.

Usage Data
The Company collects information in the form of log files that are generated during transactions with the Service, including usage patterns, bids solicited or made, cancellations listed or resold, and prices offered or paid, browsing, and the frequency of use of certain features.  The Company will aggregate this information and compile it without personally identifiable information and deliver or sell this information to our advertisers, clients, partners or other third parties.

Privacy Options For Customers
We believe that the information that the Company collects regarding contact information, service and account information, diagnostic information, and usage data is necessary to ensure the proper account billing, management and operation of the Service.  If you do not wish to have this information collected, your only option is to terminate your use of the Service.
